If you register for an event we are managing via email or online website, your details will be retained against that specific event only in order for us to provide you with the information required to participate in the event. This information usually consists of first name, surname, email address, department / company, telephone number, dietary requirements and emergency contact details as a standard with additional fields to match the requirements of the event such as accommodation reservation, passport details and travel bookings. This information is shared only as necessary with suppliers related to the event for example hotel, ground agent, airlines etc. in order to make arrangements for your attendance.
Communications you may receive from us include (but are not limited to): invitation, registration confirmation, latest event information bulletins, travel arrangements, final information and post event questionnaire. Acting as data processor, we use the data for the duration of the event and agreed length of time post-event though usually no more than 6 months, at which point the data is destroyed. In some instances, clients may require retention of details for future event use and if so, we seek appropriate permissions and provide an opt out option for the delegates.
